It’s crucial to ensure your contact information on the SIZA platform is accurate and current to keep you fully informed and updated on important developments. Audits are costly and have become increasingly important over the last few years.  Therefore, it is important to gain as much knowledge about this expense in your business as possible because, without proof of compliance, you cannot access a variety of markets to sell your products.  Having the right contacts listed allows us to deliver timely, relevant communication to the right person in your business.

Here are some guidelines to help you maintain your SIZA Subscription:

  • The primary contact should be a key decision-maker within your company, seeing that the primary contact accepts the SIZA Terms and Conditions, a legally binding agreement between the site and SIZA.
  • The secondary contact could be your business’s compliance officer or the person responsible for your compliance.
  • Avoid using general email addresses (e.g., “office@…”, “admin@…”, or “info@…”), as they may be flagged by our digital platform and miss important updates. Using personalised email addresses ensures you don’t miss vital information and will know what will happen during your audit.

 

Primary Contact:

Please ensure that the primary contact listed is either the business’s site owner or the Farm/General Manager. This individual must be a decision-maker responsible for the business, as SIZA communicates essential information regarding SIZA Standards, compliance, sustainability requirements, market updates and other changing practices. The primary contact should be a senior person within the business who can relay information to relevant departments, as the updates we provide affect various areas (such as buyers linked for traceability to your profile who can view your practices) and different departments.

 

Having a decision-maker as the primary contact ensures:

  • Authority to Act: The owner or general manager is best suited to make prompt decisions and provide direction. The SIZA subscription constitutes a binding agreement between the primary contact and SIZA and must be accepted by management or the business owner. For more details, please refer to our Terms & Conditions.
  • Clear Accountability: This structure clarifies responsibility for compliance with our agreements and simplifies communication.
  • Effective Communication: Direct contact with key stakeholders allows smoother operations and ensures you’re informed throughout the audit process.

 

Secondary Contact:

If more than one contact is required, we recommend designating the compliance officer or responsible person as the secondary contact. This helps us efficiently handle compliance-related queries while keeping the primary decision-maker informed.

 

Consultants:

Please note that a consultant cannot be listed as the primary or secondary contact on your profile. Additionally, they should not use your login details to update or change information on your account, as you will be held accountable for the information provided to your buyers. Consultants should create their own account, where they have the option to be linked to the grower accounts they manage.
