Suppliers can apply to SIZA for a bridging letter following a newly conducted audit, i.e. after the auditor’s onsite visit so that the risk of the site can be determined. This allows suppliers to continue supplying markets while they work on their corrective actions. The bridging letter serves as a temporary solution, ensuring operations can proceed smoothly while outstanding compliance measures are addressed during the peak seasonal period.
Why Might a Bridging Letter Be Necessary?
Operational difficulties sometimes necessitate a bridging letter, especially because audits are scheduled over the peak seasonal period. This requirement is based on the presence of 66% of the total workforce, calculated during the busiest period. Additionally, instances where a packhouse is not operational on the scheduled audit day may require auditors to return later, further delaying the completion of the audit process. SIZA specifically has this option to assist suppliers due to the fact that we know how busy it is on a farm during the peak seasonal period. The primary purpose of a bridging letter is to bridge the gap between an audit and the completion of corrective actions. This ensures that production activities can continue until an Audit Completion Letter can be issued once all corrective actions are signed off by the auditor.
Important Considerations Before Applying to SIZA for a Bridging Letter
- Bridging applications must be done by completing the SIZA online application Form.
- Bridging periods are granted solely at the discretion of SIZA.
- Applications must include a signed Corrective Action Plan (CAP) report.
- Applications must be submitted within 30 days following the latest audit.
- Consideration and approval depend on the member’s status (Platinum, Gold, etc.) and audit history. Unfortunately, if a critical finding occurs during the on-site visit, it will not be possible to apply, as the risk is too high, and your buyers will not accept it.
- Bridging Letters cannot be used to delay audits or avoid completing corrective actions.
- Applications are reviewed on merit, with bridging periods ranging from one to three months, depending on the reasons for the application.
Before You Apply
You should check with your buyer to confirm their audit frequency requirements. While SIZA is working towards gaining retailer buy-in for the SIZA Audit Frequency Matrix and the Bridging Letter, SIZA cannot override specific retailer requirements.
